Cash flow is the lifeblood of any trade business. You can be fully booked for weeks, have a solid profit margin on paper, and still struggle to pay suppliers or cover wages if customers take too long to pay. For many tradies, late payments are one of the biggest causes of stress and business instability.
The good news? You don’t need complicated software or expensive consultants to fix this. A few simple systems can dramatically improve how quickly money hits your bank account.
1. Invoice Immediately – Not “Later Tonight”
One of the most common mistakes tradies make is delaying invoices. After a long day on the tools, it’s easy to think, “I’ll send it tomorrow.” But tomorrow becomes next week.
The faster you invoice, the faster you get paid.
Use mobile accounting apps like Xero, MYOB or QuickBooks to create and send invoices on-site, right after the job is finished. Customers are more likely to pay promptly when the job is fresh in their mind and before other bills pile up.
2. Set Clear Payment Terms (and Stick to Them)
If your invoice says “payment due” with no timeframe, you’re giving customers permission to pay whenever they feel like it.
Instead, use clear terms such as:
- Due on completion
- 7 days
- 14 days (maximum for most trade work)
Add these terms to your quotes, invoices, and email signatures so expectations are clear before you even start the job.
3. Make It Easy to Pay You
The harder it is to pay you, the longer it will take.
Offer multiple payment options, such as:
- Bank transfer (with details clearly shown)
- Credit/debit card
- Online payment links
- EFTPOS on-site
Many Australian customers now expect instant, digital payment options. Removing friction can shave days—or weeks—off your payment cycle.
4. Use Progress Payments for Larger Jobs
If you’re doing renovations, commercial work, or multi-week projects, don’t wait until the end to get paid.
Break the job into stages, for example:
- Deposit before starting
- Payment at midpoint
- Final payment on completion
This protects your cash flow, reduces risk, and ensures you’re not funding the project out of your own pocket.
5. Automate Reminders (and Follow Up Confidently)
Chasing money can feel awkward, but it’s part of running a business.
Accounting software allows you to send automatic reminders when invoices are overdue. These are professional, polite, and save you time.
If payment is still late, follow up with a quick call or message:
“Hi mate, just checking you received the invoice from last week.”
You’re not being pushy—you’re being professional.
6. Know Your Numbers Weekly
Finally, keep an eye on:
- Outstanding invoices
- Average days to get paid
- Total cash in the bank
Review these weekly, not just at BAS time. When you track your cash flow closely, problems show up early, not when it’s too late.
In conclusion…
Getting paid faster isn’t about working harder—it’s about working smarter. By invoicing immediately, setting clear terms, offering easy payment options, and following up consistently, you can take control of your cash flow and reduce financial stress.
Strong cash flow means you can pay yourself properly, invest in better tools, and grow your trade business with confidence.
